Privacy Policy

1. General Information

This Privacy Policy defines the rules for processing personal data of users of the regatta management platform Regatta IQ (hereinafter: the "System" or "Regatta IQ").

The controller of personal data within the scope of operating the Regatta IQ platform is:

The Administrator processes personal data in accordance with applicable law, including in particular:

• Regulation (EU) 2016/679 of the European Parliament and of the Council (GDPR)

• applicable national data protection laws

2. Scope of Processed Data

When using Regatta IQ, the following personal data may be processed, in particular:

• first and last name

• e-mail address

• password (stored in encrypted form)

• profile data such as date of birth, nationality, phone number, address, sailing club and licence number

• boat and crew data, including sail number, boat type and team composition

• regatta registration data

• uploaded files and documents related to registration or profile

• race results, classifications, rankings, times and points

• technical data such as IP address, browser, device data and system logs

Providing personal data is voluntary, but it may be necessary to create an account, join a team, register for a regatta or use selected functions of the System.

3. Purposes of Data Processing

Personal data is processed for the purpose of:

• creating and maintaining a user account

• enabling users to create teams, manage boats and invite other sailors

• handling acceptance of team invitations and maintaining team composition

• registering sailors, crews and boats for regattas

• sharing registration data with regatta organizers for the operation of a given event

• managing regattas, check-in, start lists, race administration, results and rankings

• communicating with users about invitations, registrations, regattas and organizational matters

• maintaining security, preventing abuse and keeping audit logs

• fulfilling legal obligations of the Administrator

4. Legal Basis for Processing

Personal data is processed on the basis of:

• Article 6(1)(b) GDPR - where processing is necessary to provide the Regatta IQ service, including account management, team management and regatta registration workflows

• Article 6(1)(c) GDPR - where processing is necessary to comply with legal obligations

• Article 6(1)(f) GDPR - where processing is necessary for the legitimate interests of the Administrator, including platform security, abuse prevention, auditability, service integrity and proper operation of regatta workflows

• Article 6(1)(a) GDPR - where separate optional consent is requested for a specific purpose

5. Team Invitations and Shared Team Data

Regatta IQ allows users to create teams and invite other sailors to join them.

• When a user accepts a team invitation, the members of that team may view each other's personal and regatta-related data to the extent necessary for shared registrations, team management and regatta participation.

• This may include, in particular, name, nationality, club, licence-related data, contact details and other information required for registration and event participation.

• Acceptance of a team invitation may be recorded in audit logs, including date, time, IP address, technical metadata and the version of the applicable privacy notice displayed to the user.

6. Regatta Registrations and Event Organizers

When a sailor or team is registered for a regatta through Regatta IQ, personal data included in that registration may be made available to the organizer of that regatta.

This includes processing necessary for:

• handling the registration

• check-in and verification

• organizer communication

• race administration

• publishing start lists, results and rankings

• record-keeping related to the event

Depending on the structure of a given event, the regatta organizer may process personal data as a separate controller within the scope of organizing and settling that regatta.

7. Data Recipients

Personal data may be disclosed to:

• regatta organizers receiving registration data for regattas they administer

• other members of the same team, to the extent necessary for team management and shared registration

• IT and infrastructure providers, including hosting, server, storage, transactional e-mail and technical support providers

• entities providing legal, administrative or accounting support where required

• public authorities where disclosure is required by law

Personal data is not sold or disclosed to third parties for unrelated marketing purposes.

8. Public Event Data

Because Regatta IQ supports sporting competition and event administration, certain event-related data may be published publicly where necessary for the purpose of the event.

This may include, depending on the regatta and its configuration:

• sailor names

• sail numbers

• boat type or class

• sailing club

• start lists, results, rankings, classifications, times and points

9. Data Retention Period

Personal data will be stored:

• for as long as the user account remains active

• for as long as necessary to provide the service and handle claims or disputes

• for the period required by applicable law where legal obligations apply

• for longer periods where regatta history, results, rankings and related event records are retained for archival, sporting and historical purposes

10. User Rights

Users have the right to:

• access their personal data

• rectify their data

• erase their data, subject to legal and legitimate retention requirements

• restrict processing

• data portability

• object to processing based on legitimate interest

• withdraw consent at any time, where processing is based on consent

Requests relating to personal data should be sent to the Administrator at: support@regattaiq.com.

Users also have the right to lodge a complaint with the competent data protection supervisory authority.

11. Data Security

The Administrator applies appropriate technical and organizational measures to protect personal data, including in particular:

• password hashing

• access controls

• secured server and database infrastructure

• encrypted connections where applicable

• restricted access to data and audit logging of selected operations

12. Cookies and Technical Data

Regatta IQ uses cookies and similar technologies to:

• ensure proper operation of the System

• maintain user sessions

• improve security, performance and reliability

Users can manage cookie settings in their browser.

13. Changes to the Privacy Policy

The Administrator may update this Privacy Policy from time to time. The current version will always be available within the Regatta IQ system.
