Privacy Policy

1. General Information

This Privacy Policy defines the rules for processing personal data of users of the regatta management system Regatta IQ(hereinafter: the “System” or “Regatta IQ”).

The Administrator processes personal data in accordance with applicable laws, in particular:

  • Regulation (EU) 2016/679 of the European Parliament and of the Council (GDPR),
  • the Polish Act on the Protection of Personal Data.

2. Scope of Processed Data

When using Regatta IQ, the following personal data may be processed, in particular:

  • first and last name,
  • e-mail address,
  • password (stored in encrypted form),
  • user profile data (e.g. date of birth, nationality, club),
  • boat and crew data,
  • regatta registration data,
  • race results, classes, times, and points,
  • IP address, browser and device data, system logs.

Providing data is voluntary but necessary to create an account and use the System.

3. Purposes of Data Processing

Personal data is processed for the purpose of:

  • creating and maintaining a user account,
  • registering sailors, crews, and boats for regattas,
  • organizing and managing regattas,
  • publishing start lists and race results,
  • communicating with users (team invitations, organizational information),
  • ensuring the security of the System,
  • fulfilling legal obligations of the Administrator.

4. Legal Basis for Processing

Personal data is processed on the basis of:

  • Article 6(1)(b) GDPR – performance of a contract,
  • Article 6(1)(c) GDPR – legal obligations,
  • Article 6(1)(f) GDPR – legitimate interests of the Administrator (system security, fraud prevention),
  • Article 6(1)(a) GDPR – user consent, where applicable.

5. Data Recipients

Personal data may be disclosed to:

  • regatta organizers using the Regatta IQ system,
  • IT service providers (hosting, servers, email services),
  • entities providing technical and administrative support.

Personal data is not sold or shared with third parties for marketing purposes.

6. Data Retention Period

Personal data will be stored:

  • for as long as the user account remains active,
  • after account deletion – for the period required by law or until potential claims expire,
  • regatta results and rankings may be stored long-term for archival and historical purposes.

7. User Rights

Users have the right to:

  • access their personal data,
  • rectify their data,
  • erase their data,
  • restrict processing,
  • data portability,
  • object to processing,
  • withdraw consent at any time, where processing is based on consent.

Requests regarding personal data should be addressed to the Administrator.

Users also have the right to lodge a complaint with the Polish Personal Data Protection Office (UODO) or another competent supervisory authority.

8. Data Security

The Administrator applies appropriate technical and organizational measures to protect personal data, including:

  • password encryption,
  • server and database security measures,
  • SSL-secured connections,
  • restricted access to data.

9. Cookies and Technical Data

Regatta IQ uses cookies and similar technologies to:

  • ensure proper functioning of the System,
  • maintain user sessions,
  • improve security.

Users can manage cookies in their browser settings.

10. Changes to the Privacy Policy

The Administrator reserves the right to amend this Privacy Policy. The current version will always be available within the Regatta IQ system.
